About the department
HR Shared Services is an enablement function that delivers accurate and efficient HR services across the organisation.
The department is currently executing a significant HR Service Delivery Transformation Program, a phased initiative targeting five critical operational gaps across case management, knowledge management, service ownership, performance measurement, and stakeholder feedback. The Foundation Phase establishes the infrastructure and capabilities required to unlock all subsequent phases, including self-service portals, SuccessFactors optimisation, and future AI and automation capabilities.
About the role
Play a pivotal role in one of Austin Health's most strategic People & Culture initiatives. As the HR Transformation Project Officer, you will be the operational backbone of the HR Service Delivery Transformation Program, keeping a complex, multi-workstream program running smoothly through exceptional organisation, governance discipline, and proactive coordination.
Reporting directly to the HR Transformation Program Lead, you will provide end-to-end project administration support across governance, documentation, stakeholder coordination, meeting management, and knowledge base content review.
A regular day will see you:
- Maintain and update core project documents, including program plans, risk and issue registers, decision logs, and action trackers, ensuring everything is version-controlled and accessible.
- Coordinate and attend all project meetings and governance forums, preparing agendas, taking comprehensive minutes, and following up on actions to keep the program on track.
- Support the quality assurance review of HR knowledge base articles prior to publication, proofreading for accuracy, consistency, formatting, and style compliance.
- Prepare clear, professional project reports, status updates, and presentations for senior stakeholders and governance forums.
- Coordinate change management activities including distributing communications, training materials, and survey links, and assisting with the collation of stakeholder feedback data.
About you
You will be someone who brings strong organisational instincts, an eye for detail, and genuine pride in delivering high-quality work. You thrive in busy, complex environments and are confident managing multiple priorities without dropping the ball. You communicate clearly, build relationships easily, and understand how to handle sensitive information with discretion.
To be successful in this role, you'll bring with you:
- Experience in a project administration, executive assistant, or similar administrative support role, ideally within a project or program environment, with demonstrated ability to take accurate and comprehensive meeting minutes.
- Excellent written communication and document management skills, including strong proofreading, editing, and formatting abilities across a range of professional documents and reports.
- Exceptional organisational skills, highly detail-oriented with the ability to manage competing deadlines, track multiple workstreams, and keep governance frameworks up to date.
- Strong proficiency in Microsoft Office 365 (Word, Excel, PowerPoint, Outlook, SharePoint, Teams), and the ability to quickly learn new tools such as JIRA Service Management and Confluence.
- The interpersonal skills and professional maturity to liaise confidently with stakeholders at all levels and handle sensitive and confidential information with discretion.
