About the Executive Suite

The Executive Suite at located at Austin Health main hospital in Heidelberg. It is a complex and busy office with multiple internal stakeholders, including the Chief Executive Officer, Chief Operating Officer, Chief Medical Officer, Chief Nursing Officer, Chief People & Culture Officer, Chief Financial Officer, Chief Allied Health Officer, Chief Information and Services Officer, Chief Strategy & Sustainability Officer, General Counsel and Board Secretary.

External stakeholders include other health services, the Department of Health, statutory bodies, Boards and government.

 

About the role

As the Executive Assistant, you will be accountable for providing high level confidential executive, and administrative support and coordination to the Chief Nursing Officer and Chief Strategy & Sustainability Officer, as well as providing high-level confidential administrative support to the broader teams in these areas.

 

Role responsibilities will include:

  • Complex and extensive diary management, scheduling and administration of meetings and liaison with internal and external stakeholders.  
  • Preparation of correspondence for the Executive using advanced MS Office skills to produce email correspondence, presentations, reports, letters and submissions.  
  • Coordination, preparation and oversight of meetings; agenda, minutes, papers and action Items in a timely and accurate manner.
  • Coordination of the flow of information necessary to support the outcome of the Executive and organisation, including the Identification of continuous improvement opportunities and providing input to redesign processes to ensure increased efficiencies in respect to administrative process. 
  • Coordination of the development of the Executive papers within the Executive’s workgroup Leadership team, ensuring contributions are prepared in a timely manner in accordance with the approved template. 
  • Represent Austin Health and the Executives at all times, acting in a professional and courteous manner, promoting the organization

 

About you

To be successful in this role you will bring with you:

  • Highly developed written and verbal communication skills with the ability to communicate at all levels.
  • Ability to manage incoming work with competing priorities, attention to detail and accuracy in all activities, including diary management
  • Well developed interpersonal skills, with the ability to work with highly sensitive and confidential information.
  • Ability to work both independently and collaboratively within a team environment.
  • Experience building and nurturing positive relationships with executive internal staff and key external stakeholders.
  • Computer proficiency in Microsoft Office applications.
