About Medical and Cancer Services Division
The Medical and Cancer Services Division is one of six divisions within the Chief Operations Officer Directorate of Austin Health. The Division’s clinical services operate across all three Austin Health campuses and Ballarat Health Services (BHS) within the Ballarat Regional Integrated Cancer Centre (BRICC) and comprise a complex range of national, state-wide organizational wide and specialty clinical services.
About the role
To provide high quality and efficient organisational and administrative support to cancer multidisciplinary case conference meetings and other cancer service activities. Currently there are multidisciplinary meetings for lung, breast, CNS, hepatobiliary (HPB), uro-oncology, melanoma, upper gastro-intestinal, head and neck, colorectal and haematological cancers. Further meetings, enhancements to existing meetings and linkages with regional centres are ongoing.
A regular day will see you:
- Liaise with head/leader/chair of each group on a regular basis (in person at the meeting, and by phone at other times)
- Use and maintain the MDM administrative database (CANMAP) including scheduling meetings, maintaining and recording attendance, accepting agenda submissions and keeping up to date distribution lists for each MDM. Distribute logons, assist in training and maintaining contact information to rotating medical staff
- Develop and circulate to attendees meeting agendas include all cases to be discussed with additional details as required by each team
About you
As the Administrative Officer, You will be someone who has excellent communication skills, with a strong commitment to excellence in patient care. You’ll bring energy and drive to your work, and have a keen interest in developing your skillset.
To be successful in this role, you'll bring with you:
- Previous secretarial/administration experience at a management level, including a demonstrated ability to work independently to tight timeframes and maintain strict confidentiality.
- Ability to remain calm under pressure and to maintain a high level of professionalism at all times
- Ability to work in an environment of varying disciplines of staff including but not limited to consultants, junior medical staff, external providers and administration
- Excellent written and verbal communication skills
