About Language Services
The Language Services Office is equipped with 16 telephone lines across the Repat and Austin Campuses and is open Mon – Fri 8:30am – 4:30pm. For patients with limited English proficiency or who use sign language, interpreters play an essential role in ensuring access to services and meaningful participation in the care they receive at Austin Health. It is not appropriate to use family members to interpret. Family members are emotionally involved, have no training and there is no guarantee that information will be relayed accurately and in its entirety.
About the role
We are seeking a part-time (24 hours per week), fixed-term Administrative Officer to join the Language Services Department, reporting to the Manager of Language Services. The Language Services Department has offices at both the Austin and Heidelberg Repatriation Hospital campuses.
A regular day will see you:
- Responding to phone and email enquiries from staff and patients regarding interpreter bookings.
- Scheduling and allocating interpreter appointments using the Interpreter Management System (IMS) – training provided.
- Maintaining accurate records and statistics of interpreting services.
- Assisting with general administrative tasks such as filing, data entry, and document preparation.
- Liaising with interpreters and clinical staff to ensure efficient service delivery.
- Supporting the team with other duties as required.
About you
You will be an organised and proactive individual with strong communication skills and attention to detail. You enjoy working in a fast-paced environment and have a commitment to excellent customer service.
To be successful in this role you’ll bring with you:
- Previous experience in an administrative or customer service role (healthcare experience desirable).
- Proficiency in Microsoft Office and ability to learn new systems quickly.
- Strong organisational and time management skills.
- Ability to work collaboratively within a team and adapt to changing priorities.
